REBOOT CARIBBEAN

PRIVACY POLICY

Publication version: 18 September 2026

Effective: 20 September 2026

Policy reference: RC-PP-06

This policy explains how Reboot Caribbean collects, uses, protects, shares and keeps personal information when people contact us, request equipment, take part in the programme, donate technology, make a future financial donation or choose to share a project story.

PRIVACY AT A GLANCE

• Reboot Caribbean is an independent community initiative based in Port of Spain, Trinidad and Tobago.

• NGO registration is in progress. Reboot Caribbean is not yet described as a registered NGO.

• One authorised programme administrator currently reviews requests and manages programme records.

• We do not sell, rent or trade personal information.

• Applicants under 18 require approval from a parent or legal guardian.

• We do not use artificial intelligence or automated scoring to approve or refuse equipment requests.

• We do not plan to use advertising, behavioural analytics or non-essential tracking at launch.

• Privacy questions and requests may be sent to info@rebootcaribbean.com.

1. WHO IS RESPONSIBLE FOR YOUR INFORMATION

Reboot Caribbean is an independent community technology and learning initiative based in Port of Spain, Trinidad and Tobago. It is being developed and administered by Ahamad Baksh.

Reboot Caribbean is currently completing the process of NGO registration. It must not yet be understood or described as a registered NGO. Live application, equipment-distribution and donation services should open only when the programme is legally and operationally ready to provide them.

In this policy, “Reboot Caribbean”, “we”, “us” and “our” refer to the programme responsible for deciding why and how the personal information described below is used. One authorised programme administrator currently reviews requests and manages programme records.

When registration is completed, this policy will be updated with the registered organisation’s exact legal name and any other required details. Relevant records may then be transferred to that successor organisation for the same stated purposes and with equivalent safeguards.

2. WHAT THIS POLICY COVERS

This policy covers personal information handled through:

• the Reboot Caribbean website and its Hostinger contact forms;

• the six Reboot Caribbean equipment-request forms hosted on Google Forms;

• email, telephone, SMS or WhatsApp conversations used to follow up a request;

• equipment assessment, allocation, permanent transfer, loan, handover, support and return records;

• offers and handovers of donated computers, components, storage devices and other technology;

• future financial donations made through PayPal or a Reboot Caribbean bank account;

• optional photographs, testimonials and learner project stories; and

• reasonable security, incident, accounting and programme-accountability records.

It applies to website visitors, applicants, parents and guardians, equipment recipients, technology donors, future financial donors, people who contact us and people who separately agree to take part in published stories or media.

This policy does not govern an independent website or service merely because Reboot Caribbean links to it. The other provider’s privacy notice applies when you use its service.

3. INFORMATION WE COLLECT

WEBSITE VISITS

Hostinger and related security systems may process standard technical information such as an IP address, browser or device type, the page requested, a referring page, the date and time, and error or security events. This information is used to deliver, protect and troubleshoot the website.

WEBSITE CONTACT FORM

The website contact form asks for a name, email address and the message a person chooses to send. We use this information to read and answer the enquiry, keep necessary correspondence and prevent abuse.

EQUIPMENT REQUESTS

Our request forms cover:

• laptops and desktop computers;

• displays, projectors, printers and scanners;

• servers, storage and NAS equipment;

• networking equipment;

• computer components and internal parts; and

• accessories, cables and peripherals.

Depending on the request, we may collect:

• your full name;

• an email address and telephone or WhatsApp number;

• your town or general area;

• whether you are applying as a learner, student, educator, school, community organisation or for another educational purpose;

• your school, institution, course, training programme or broad education level, where relevant;

• the equipment, component or quantity requested;

• the minimum specifications or practical features needed;

• a plain-language explanation of the study, learning or project need;

• information about equipment or alternatives already available to you;

• whether you are willing to consider suitable used or refurbished equipment or a loan;

• compatibility details for an existing device;

• practical collection, handover or return information;

• your answers to eligibility, safety and acknowledgement questions; and

• messages, assessment notes and follow-up information connected with the request.

TECHNICAL REQUEST DETAILS

Depending on the equipment category, technical details may include a device make or model, specifications, faults, software needs, display connections, printer type, storage capacity, server or networking project requirements, operating environment, electricity and cooling needs, connectivity, VLAN, PoE, routing, firewall, port-count, charger wattage or connector type.

We use these details to avoid incompatible or unsafe allocations and to match available equipment to the project. Describe a server or network project without exposing live passwords, private access credentials, public IP addresses, firewall rules, security keys or confidential infrastructure diagrams.

PROGRAMME AND EQUIPMENT RECORDS

If a request progresses, we may record its status, clarification notes, decision, an alternative offered, the equipment identifier, known condition and limitations, included accessories, the agreed educational use, whether the item is a permanent transfer or loan, handover or return arrangements, loan dates, extension requests, faults, loss, repairs and closure details.

TECHNOLOGY DONATIONS

If you offer technology, we may collect the donor’s or organisation’s name, contact details, town or general area, item type, approximate quantity, make or model where known, condition, included accessories, photographs where supplied, a serial or asset number where needed, whether storage media is present, data-removal instructions, collection or delivery notes and the final handover record.

We use this information to assess whether equipment can be accepted safely, confirm ownership or authority, plan logistics, document the transfer, manage data-bearing devices and decide whether an item is suitable for reuse, repair, learning or authorised parts recovery.

FINANCIAL DONATIONS

When financial donations are enabled, we may receive the donor’s or account holder’s name, email address where supplied, amount, date, transaction or reference number, payment status, message and limited bank-statement information. We use this information to process, reconcile, acknowledge and account for donations, prevent fraud and resolve disputes.

PayPal or the relevant bank will process payment credentials under its own privacy notice. Reboot Caribbean will not ask for a full card number, card security code, online-banking password or one-time security code through a Google Form, website contact form, email or WhatsApp.

PHOTOGRAPHS, STORIES AND TESTIMONIALS

We collect or publish a person’s image, voice, quotation, project description, first name or preferred attribution only under a separate, optional permission. Refusing publicity does not reduce eligibility for equipment or support.

INFORMATION WE DO NOT ROUTINELY REQUEST

Do not place passwords, one-time codes, government ID numbers, copies of identification, bank or card details, medical diagnoses, criminal-history information, private network credentials, public IP addresses, firewall rules, recovery keys, access tokens or confidential infrastructure diagrams in a request form or ordinary contact message.

For accessibility support, tell us the practical accommodation you need rather than a diagnosis. We will avoid recording health information or other sensitive personal information unless it is genuinely necessary and lawfully handled.

4. WHERE INFORMATION COMES FROM

Most information comes directly from the person concerned. It may also come from:

• a parent or legal guardian acting for a child;

• a donor or person authorised to arrange a handover;

• the Reboot Caribbean administrator’s assessment, inventory, condition or communication notes; and

• service providers that create access, delivery, payment or security logs.

The University of the West Indies does not provide Reboot Caribbean with student records for this programme. Learning about Reboot Caribbean through UWI does not authorise us to obtain information from UWI about you.

5. WHY WE USE INFORMATION

We use personal information only where it is reasonably needed to:

• answer a question and communicate about a request;

• confirm that a request is understandable and connected to an educational or learning purpose;

• assess need, intended use, available alternatives, suitability, demand, scarcity and value;

• identify a suitable item or suggest a practical alternative;

• manage a waiting list fairly;

• arrange collection, handover, return, repair or support;

• distinguish a permanent transfer from a loan and keep the related equipment record;

• manage the agreed loan period, accessories, extensions, faults, loss and return;

• assess component compatibility without collecting unnecessary device or network information;

• confirm parent or guardian approval for an applicant under 18;

• receive, inspect, acknowledge and account for donations;

• protect people, accounts, equipment and the integrity of the programme;

• respond to a privacy request, complaint, dispute or security incident;

• meet an applicable legal, accounting, audit or regulatory requirement;

• establish, exercise or defend a legal claim;

• publish a photograph, quotation or project story only under separate permission; and

• prepare anonymous or combined programme statistics, such as equipment categories and the number of items distributed.

Required form fields are limited to information needed to consider or administer the relevant request. Optional information may be left out. If essential contact or suitability details are missing, we may be unable to assess or safely fulfil the request.

Submitting a form does not guarantee approval, reserve equipment, create a loan or transfer agreement, promise a particular model or guarantee immediate availability.

6. MANUAL REVIEW AND ALLOCATION DECISIONS

Equipment requests are reviewed by a person. Reboot Caribbean does not use artificial intelligence, automated scoring or solely automated decision-making to approve or refuse a request.

Allocation may consider educational need, intended use, access to other equipment, suitability of available items, possible alternatives, demand, scarcity and value. The order in which a form arrives, polished writing and technical experience are not automatic eligibility scores.

You may ask for a plain-language explanation or reconsideration of a decision by emailing info@rebootcaribbean.com. Reconsideration does not guarantee a different result or equipment availability.

7. GOOGLE EQUIPMENT-REQUEST FORMS

The six equipment-request forms are hosted by Google Forms. A Google account is not intended to be required for submission. If a person chooses to sign in, Google may save an unfinished response as a draft under that person’s Google account settings. Reboot Caribbean cannot review an unsubmitted draft.

Submitted answers are available to the Reboot Caribbean form owner and may also be stored in a restricted Google Sheet. Access is limited to the authorised programme administrator.

The standard forms do not request file uploads, copies of identification, a full home address, a full date of birth, card information or bank-account details. If proportionate verification later becomes necessary, we will explain what is required, why it is required and how to provide it through an appropriate route.

For a component or compatibility request, we may later ask for a photograph of a relevant device, label, port, connector or part. We will explain what is needed. Cover serial numbers and unrelated personal details unless we specifically need them for compatibility, inventory or loan administration.

8. APPLICANTS UNDER 18

For this policy, a child is a person under 18.

A child may help explain a learning or project idea, but a parent or legal guardian must submit the request or provide verifiable confirmation before we continue a detailed assessment, arrange a handover or agree to a loan. We normally verify this through a guardian declaration and direct follow-up. We do not request an identity-document upload as a routine step.

If we learn that a child submitted a form independently, we will pause the request and seek the minimum guardian details needed for confirmation. If confirmation is not obtained within 30 days, we will delete the application unless a safety, security or legal reason requires limited retention.

Any public photograph, recording, testimonial or project feature involving a child requires separate permission from the parent or legal guardian and the child’s agreement in age-appropriate language. Publicity permission is never a condition of equipment approval.

9. CONTACT FORMS AND PROGRAMME MESSAGES

The Hostinger website contact form asks only for a name, email address and message. Hostinger may store the submission in the website builder and send an email notification, so a copy may exist in both places.

Messages about a person’s request, handover, loan, return, fault, safety issue or privacy request are programme-administration messages. If you no longer want them, you may withdraw the request or ask us to use another practical contact route. Some communication may still be necessary to close an active loan, return or handover record.

We do not automatically place applicants or contact-form users on a promotional mailing list. Any future newsletter, fundraising message or general programme update will use a separate, optional sign-up and provide a practical way to unsubscribe. Withdrawing from optional updates does not affect an equipment request.

10. TECHNOLOGY AND FINANCIAL DONATIONS

DONATED TECHNOLOGY

Before offering a device, back up information you are authorised to keep, sign out of accounts, remove passwords or activation locks where practical and remove personal data. Tell us if storage media remains in the device or if the device has special handling needs. Do not send a device password through a website form, email or WhatsApp.

Reboot Caribbean may make reasonable efforts to reset or wipe accepted storage devices before reuse, but it does not provide a certified data-destruction service and cannot guarantee recovery of data that a donor leaves on a device. Any special sanitisation or destruction requirement must be discussed and agreed in writing before handover.

We keep only the donor and equipment information reasonably needed to assess the offer, arrange the handover, document the transfer and maintain accountable inventory records.

FINANCIAL DONATIONS

Financial donations are not active until the approved PayPal and Reboot Caribbean bank arrangements are ready. When enabled, donations will be voluntary. Donating will not improve an applicant’s priority, guarantee equipment or influence an allocation decision.

Do not place sensitive personal information in a PayPal note or bank-transfer reference. Reboot Caribbean does not receive a donor’s PayPal password or full card or online-banking credentials.

11. PHOTOGRAPHS, TESTIMONIALS AND PROJECT STORIES

Sharing a photograph, recording, quotation, testimonial or learner story is optional. We use a separate permission that identifies the material, agreed attribution and approved publication channels. Saying no does not affect an application, allocation, loan or support.

A person may withdraw permission for future use by emailing info@rebootcaribbean.com. We will stop new use and remove the material from channels under our control within a reasonable period, ordinarily within 30 days. Withdrawal may not retrieve printed material already distributed, copies independently saved or reposted by other people, or restricted backup copies waiting for the provider’s normal deletion cycle.

12. WHO CAN RECEIVE INFORMATION

Reboot Caribbean does not sell, rent or trade personal information. Current programme access is limited to one authorised administrator, apart from the service providers needed to operate the website, forms, communications and future donation services.

Information may be processed or disclosed only as reasonably needed to:

• Hostinger, for website hosting, contact forms and related security;

• Google, for Forms, Drive, Sheets and email services;

• WhatsApp or a telecommunications provider where a person supplies or chooses that contact channel;

• PayPal or a future bank after financial donations launch;

• a technician, repairer, supplier or compatibility adviser, using the minimum information needed and avoiding identity information where it is unnecessary;

• a collection or handover venue, using only minimum scheduling or access details and telling the person beforehand;

• a future authorised volunteer or programme assistant whose task genuinely requires limited access and who is subject to appropriate confidentiality and security requirements;

• a professional adviser, insurer or auditor where reasonably necessary; or

• a court, law-enforcement body or other competent authority where disclosure is required by valid legal process, needed to address fraud or a serious safety issue, or necessary to establish, exercise or defend a legal claim.

Donors do not receive applicants’ identities or application answers. Applicants do not receive donors’ personal information. We may share anonymous or combined impact information that does not identify a person.

If a future volunteer, repair partner or handover assistant needs personal information, we will limit access to the task and explain any material new sharing before it occurs.

13. UWI’S LIMITED ROLE

The University of the West Indies may support programme awareness by displaying posters or sharing information through its channels. That outreach support does not make UWI the operator of Reboot Caribbean.

UWI does not receive Reboot Caribbean’s Google Form responses, review applications, decide who receives equipment or have routine access to programme records.

Where an arrangement connected with the initiative uses the Faculty of Engineering or the Faculty of Science and Technology as an agreed meeting or handover point, that location alone does not mean applicant information is shared with UWI or that UWI sponsors or endorses an application.

If venue access requires a name, appointment time or similar detail, we will tell the person first and share only the minimum needed. If a future arrangement requires wider data sharing, it will be explained before collection or sharing and this policy will be updated.

14. PROCESSING OUTSIDE TRINIDAD AND TOBAGO

Google, Hostinger, WhatsApp, PayPal and their supporting companies may operate systems or use service providers in other countries. Information handled through those services may therefore be processed or stored outside Trinidad and Tobago, where privacy laws and government-access rules may differ.

We limit the information sent through each service, use available privacy and access controls, review provider terms and seek safeguards appropriate to the information and the General Privacy Principles. Each provider also handles information under its own privacy statement. People should avoid placing unnecessary or highly sensitive information in forms and messages.

15. HOW LONG WE KEEP INFORMATION

We keep identifiable information only for a defined purpose. We may delete it sooner when it is no longer needed. We may keep a limited record longer where an applicable law, active equipment arrangement, safety issue, fraud concern, audit, complaint, dispute or legal claim reasonably requires it.

Our standard periods are:

• General contact enquiries: up to 12 months after the last meaningful contact, unless the message becomes part of an application, equipment or legal record.

• Withdrawn or unsuccessful applications: up to 12 months after withdrawal or the final decision.

• Waiting-list records: 12 months from the last confirmation. We will ask whether the request is still current and delete or anonymise it if it is not reconfirmed within a reasonable period.

• Assessment notes that are not needed for a completed transfer or loan: up to 12 months after the decision.

• Approved requests, permanent transfers, equipment loans and core equipment records: 6 years after the arrangement closes, including completion of the handover or return. We then delete personal details that are no longer needed or retain only anonymous inventory and impact totals.

• Compatibility or diagnostic photographs: up to 12 months after the request or support case closes, unless a photograph forms a necessary part of an equipment-condition, safety or dispute record.

• Accepted technology-donation and handover records: 6 years after acceptance and handover. Declined donation enquiries are normally kept for up to 12 months after the last contact.

• Financial-donation and accounting records: 6 years after the transaction or longer where applicable law requires.

• Photographs, testimonials and project stories: while permission remains current and the material remains useful, reviewed at least annually. The permission and withdrawal record may be kept for 6 years after the last use.

• Privacy requests and complaints: ordinarily 2 years after the final response, unless connected to an unresolved dispute, incident or legal requirement.

• Security-incident records: 6 years after the incident closes. Provider logs follow the provider’s documented or configured schedule.

Deleting an email does not automatically delete the same record from Hostinger, Google Forms, a linked Google Sheet, WhatsApp, an exported file or a backup. When deletion is due, we check the locations under our control. Provider backups, abuse-prevention records and security logs may retain protected residual copies for a limited period under the provider’s deletion cycle.

Anonymous statistics may be kept because they no longer identify an individual.

16. HOW WE PROTECT INFORMATION

Our security measures include:

• named administrator accounts and multi-factor authentication;

• no routine sharing of account passwords;

• access limited to the person whose current role requires it;

• restricted Google Form, Drive and linked-Sheet permissions;

• public response summaries kept disabled;

• periodic access reviews;

• collection of the minimum information needed;

• no ID-upload field in standard request forms;

• reasonable protection of exported files and avoidance of unnecessary copies;

• separate handling of optional media permissions and public content;

• procedures for correcting and deleting records in each place where they are stored; and

• incident-response steps covering containment, access revocation, credential resets, investigation and communication.

No website, email account, cloud service or physical record system can be guaranteed completely secure. Please use the designated form or contact route and do not send passwords, financial credentials or other high-risk information through email or WhatsApp.

If a suspected incident occurs, we will act to contain it, secure affected accounts, identify the records involved, preserve necessary evidence, work with the relevant provider, assess likely harm and notify affected people or public authorities promptly where the law requires notice or where notice is needed to reduce a material risk.

Anyone who believes information was sent to the wrong place, exposed or used improperly should contact info@rebootcaribbean.com immediately.

17. YOUR CHOICES AND PRIVACY REQUESTS

You may contact Reboot Caribbean to:

• ask whether we hold personal information about you;

• ask for access to that information and an explanation of how it has been used or disclosed;

• correct or complete inaccurate information;

• ask us to delete or anonymise information that is no longer needed;

• withdraw optional media, testimonial or future marketing permission;

• update or withdraw an equipment request or waiting-list entry;

• ask for a human explanation or reconsideration of an allocation decision; or

• challenge our compliance with this policy or the General Privacy Principles.

Email info@rebootcaribbean.com with the subject “Privacy Request” and enough detail for us to identify the relevant record. We may ask for proportionate confirmation that the requester is the person concerned or is properly authorised. We will not request excessive identification merely to answer a request.

We aim to acknowledge a privacy request within 7 calendar days and provide a substantive response within 30 calendar days. If more time is reasonably needed, we will explain why and give an updated date.

A parent or legal guardian may make a request for a child, subject to proportionate confirmation of that relationship.

Deletion, withdrawal and access are not absolute. We may retain or withhold a limited record where reasonably necessary for an active loan, equipment accountability, another person’s privacy, fraud prevention, an unresolved dispute, financial record-keeping, safety or a legal duty. We will explain a material limitation where we can lawfully do so. Withdrawing permission does not invalidate appropriate handling that already occurred before withdrawal.

18. COOKIES, TECHNICAL DATA AND EXTERNAL WEBSITES

At launch, Reboot Caribbean does not intend to use Google Analytics, Meta Pixel, Hotjar, advertising cookies or behavioural profiling. Hostinger states that its Website Builder manual mode does not set cookies by default unless integrations are added. Hosting and security systems may still process standard technical logs without using a non-essential tracking cookie.

Equipment forms are external links to Google Forms. Future financial-donation links may lead to PayPal. Those services may use their own cookies, account technologies and technical logs after a person opens them. Learning resources and other external links also lead to websites with their own terms and privacy practices. Reboot Caribbean does not control those independent sites.

Before adding analytics, advertising, embedded third-party media or another integration that changes tracking, we will review the service, update this policy and use any notice or choice required for that technology.

19. LEGAL FRAMEWORK

Reboot Caribbean handles personal information with regard to the General Privacy Principles in section 6 of Trinidad and Tobago’s Data Protection Act, 2011.

Those principles address accountability, clear purposes, knowledge and consent, necessary and lawful collection, limited retention and disclosure, accuracy, safeguards, openness, individual access and correction, a way to challenge compliance, and protection for information processed outside Trinidad and Tobago.

The Data Protection Act is only partially in force as at this policy’s preparation date. This policy does not present unproclaimed provisions as though they were fully in force. Where this policy offers an additional choice, such as asking us to delete information, it describes Reboot Caribbean’s practice and does not claim that every choice is an unconditional statutory right.

Reboot Caribbean also follows other applicable Trinidad and Tobago legal, financial, record-keeping, safeguarding and court requirements where they apply.

20. CHANGES TO THIS POLICY

We may update this policy as the programme, legal status, forms, providers, website features or applicable law change. The current version will show its preparation or revision date.

We will not use information already collected for a materially incompatible new purpose without an appropriate notice and fresh permission where required. Where a change materially affects an active applicant, borrower, donor or media participant and we have a working contact, we will make reasonable efforts to notify that person directly.

This policy will be reviewed before launch, after NGO registration is completed, when a new service provider or tracking tool is introduced, and otherwise at least once each year.
